HOMEOWNER ASSOCIATION SERVICES

Our program offers an alternative to inflexible monthly management rates. We customize our services to meet each individual association’s needs and budget, by charging for services rendered, in addition to a reasonable monthly fee.

Our professional staff can ease the frustrating burden for dedicated trustees who are trying to balance homeowner duties and their personal life.

Association members may want to save money by performing the tasks of management on their own. In the long run however, this may prove detrimental. It takes time and dedication to coordinate special projects, place liens, fill out homeowner certifications, talk to title companies, etc. A volunteer may not have time to properly oversee the activities of the accounts. Often a volunteer from the association itself may get caught up in politics if they try to manage the account. An outside service will eliminate any suspicion homeowners may have regarding the financial statements.

HOW CAN WE HELP YOUR HOMEOWNER ASSOCIATION? Following are the services included in the monthly charge. Our monthly charge is based on the number of units/lots and the frequency of billing (by Month, Quarter or Year):

1. Accounts Receivable

  • Create invoices
  • Produce and mail statements
  • Assess late fees as appropriate
  • Assess interest charges as appropriate
  • Collection follow-up
    - Send an overdue invoice
    - Call homeowner once directly
  • Receive homeowner payments
  • Answer general account questions

2. Accounts Payable

  • Receive and review vendor invoices
  • Generate checks and mail

3.Checking and Savings Account

  • Make deposits
  • Reconcile accounts

4. Database Maintenance

  • Basic interaction with title companies, i.e., general phone calls, due inquiries.
  • Basic address changes, i.e., changing mailing address, contact information, etc.

5. Reports

  • Create and forward Profit and Loss Report
  • Create and forward Balance Sheet
  • Create and forward Accounts Receivable Aging Report

With a board member’s assistance and direction, we can also provide other services. You only pay for additional services rendered. For example:

  • Coordinate projects with your maintenance company.
  • Act as a liaison between title companies and buyers.
  • Create and send notification letters regarding pets, violations, etc.
  • Help with special projects like organizing a chimney sweep or inspection of sprinkler systems.
  • Prepare agendas for board and annual meetings.
  • Attend the board and annual meetings and take the minutes. We will also transcribe them.
  • Prepare, receive and record proxies for annual meetings.
